Our work involves two groups of people: our clients, and the editors, journalists and writers we contact on their behalf. This notice explains what we hold about each group, the reasons, and what either can ask of us.
Who is responsible

About clients and enquirers
- Details sent through the gap audit form: name, email, website, business type, competitor domains and your message.
- Anything you send by email, with your address.
- For clients, the contact, contract and billing details needed to run and invoice the work.
We do not want customer, member or performer personal data. If any is sent, we delete it and let you know.
About the people we contact
Outreach means holding business contact details for editors, journalists, podcasters and writers: names, work email addresses, the publications they write for and a record of our messages. We collect these from public sources, such as bylines and published contact pages, and rely on legitimate interests to hold them. Every message identifies who we are and how to stop hearing from us. Anyone who opts out goes on a suppression list that applies to all our future campaigns.
Legal bases
- Answering enquiries and preparing audits: steps taken at your request before a contract.
- Delivering services and keeping records required by tax law: our contract with you and our legal obligations.
- Outreach contact lists and site security: our legitimate interests, balanced against the rights of the people concerned.
Cookies
No analytics, advertising or tracking cookies are set on this site. The gap audit form uses a single session cookie that prevents forged submissions and ends when you close your browser.
Who else sees the data
Our hosting provider and our email service. We do not sell data, and we never reveal who our clients are unless required by law.
International transfers
Because our team operates from India and our providers work internationally, personal data may be processed outside the UK. We rely on the safeguards UK law permits for such transfers and will describe them if asked.
How long we keep it
- Enquiries that do not become clients: up to 12 months.
- Outreach contact records: while the contact remains relevant to our work, and reviewed at least once a year.
- Suppression list entries: kept for as long as needed to honour the request.
- Contracts and invoices: for the period tax and accounting rules require.
Your rights
Under UK GDPR you may ask for a copy of your data, ask us to correct or erase it, restrict or object to its use, including objecting at any time to outreach, and ask for it in a portable format. People in the EU and several US states have similar rights. Contact us through the form or by email; we may confirm your identity and will reply within one month.
If you are unhappy with our answer, you can complain to the Information Commissioner's Office, the UK's data protection regulator.
Updates
If our use of personal data changes, we will update this notice and its date before the change takes effect. Our terms of business set out the rest of our commitments.
